Workforce Notifications alert managers about operational exceptions. Location Verification records or evaluates coordinates only when an employee submits an enabled clock action; it does not continuously track a device.
Enable only the notifications you want
- Go to Time Logger > Settings > Features.
- Enable Workforce notifications.
- Expand the card.
- Select any combination of Late Shift, Missed Shift, Approaching Overtime, Long Shift, Daily Summary, Missed Lunch, and Correction Requests.
- Select Save feature controls.
The master checkbox disables all alerts when off. Individual choices are retained so they can be restored later.

Configure detailed alert rules
- Go to Time Logger > Settings > Notifications.
- Enable only the detailed rules corresponding to selected sub-features.
- Enter the approaching-overtime lead time in minutes.
- Enter the forgotten-clock-out threshold in hours.
- Choose how long delivery-log records should be retained.
- Select Save notification rules.
- Review Monitor Status for Next Check, Last Check, and Last Result.
Verify notification delivery
- Test general WordPress email delivery first.
- Create one controlled condition, such as a test schedule that becomes late.
- Allow the next monitor run to occur.
- Review the Recent Delivery Log.
- Confirm the intended manager receives the message.
- Confirm the same event is not repeatedly emailed; delivery keys are used to prevent duplicates.
Inactive and Terminated employees are excluded from active workforce and missing-time notifications.
Enable location verification
- Go to Time Logger > Settings > Features.
- Enable Location verification.
- Enable Clock-In Location, Clock-Out Location, Geofence Enforcement, and Location Retention as needed.
- Select Save feature controls.
- Go to Time Logger > Settings > Workforce Policies.
Choose a location policy mode
| Mode | Behavior | Recommended use |
|---|---|---|
| Disabled | No location request or coordinate record. | Organizations that do not use location verification. |
| Record only | Records submitted event location without comparing it with an approved site. | Initial testing or documentation without geofence decisions. |
| Record and flag outside locations | Allows the action and records whether it falls outside every approved radius. | Recommended pilot mode before enforcement. |
| Require an approved location | Blocks the action unless it is within an approved location. | Use only after testing actual devices and all work sites. |
Add an approved work location
- Under Approved Work Locations, enter a recognizable Name.
- Enter Latitude and Longitude in decimal degrees.
- Enter the allowed Radius in meters.
- Select Add location.
- Test from the actual work site using the actual employee device.
- Begin with Record and Flag mode and review accuracy before using Require.
A radius that is too small may reject legitimate actions because phones, browsers, buildings, and GPS conditions report different accuracy. Document why each radius was chosen.
Configure clock-out and retention
- Choose whether location should be captured again at Clock Out.
- Set the Location Event Retention period.
- Select Save policies.
- Confirm Location Retention is enabled under Feature Controls when automatic purging is expected.
Employee privacy
- Coordinates are requested only when the employee submits an enabled clock event.
- The plugin does not continuously track the device.
- Employees must grant browser location permission.
- The site owner should disclose what is collected, why, who can access it, and how long it is retained.
- Precise coordinates should not be included in ordinary support tickets.
Troubleshooting
| Problem | Resolution |
|---|---|
| No notification arrives | Check master feature, sub-feature, detailed rule, recipient email, monitor schedule, delivery log, SMTP log, and spam. |
| Repeated alert | Confirm one event is not being recreated, review delivery keys and schedule, and check for duplicate plugin copies. |
| Monitor not scheduled | Open System Status, save Notification settings again, and confirm WordPress cron works. |
| Browser never asks for location | Use HTTPS, enable the exact action sub-feature, and reset the browser's permission for the site. |
| Valid employee is outside the radius | Review the saved coordinates, reported accuracy, and radius; test in Record and Flag mode. |
| Clock action is blocked | Grant permission, confirm an approved location exists, and verify the device is inside a tested radius. |
