The Shared Kiosk turns a tablet, reception computer, or other shared device into a PIN-secured employee clock. Employees can clock in and out and, when enabled, start and end both breaks and lunch.
Required access: An Administrator or kiosk manager configures the kiosk. Employees must have Active status and an individual kiosk PIN.
Plan the kiosk
- Use a dedicated device with a supported browser, stable network, and screen lock.
- Place it where access can be reasonably monitored.
- Decide whether employee names and avatars may be displayed.
- Decide whether project and location rules apply to kiosk clock-ins.
- Never post PINs near the device.
Enable kiosk sub-features
- Go to Time Logger > Settings > Features.
- Enable the Shared kiosk master switch.
- Expand the card.
- Enable Clock in and out.
- Enable Break buttons to show Start Break and End Break.
- Enable Lunch buttons to show Start Lunch and End Lunch.
- Enable Employee Avatars and Project Selection only when needed.
- Select Save feature controls.
Break and Lunch are independent options. Enable both when employees must record both categories.
Create the kiosk page
- Go to Time Logger > Workforce > Kiosk.
- Select Create kiosk page if the page has not been configured.
- Confirm a published WordPress page is created with
[employee_time_logger_kiosk]. - Open the page URL on the kiosk device.
To build it manually, add the same shortcode to a WordPress page. Do not place the normal employee shortcode and the kiosk shortcode on the same page.
Configure kiosk settings
- On Workforce > Kiosk, select Enable the shared kiosk.
- Choose whether employee photos or avatars should appear.
- Select Save kiosk settings.
- Reload the kiosk page and confirm the employee chooser appears.
Set employee PINs
- Under Employee PINs, choose an Active employee.
- Enter a new PIN containing 4–10 digits.
- Select Set employee PIN.
- Provide the PIN privately to the employee.
- Repeat for each employee who will use the kiosk.
PINs are stored as one-way password hashes and cannot be displayed after saving. If a PIN is forgotten, set a new one. Employees should not reuse banking, alarm, phone-unlock, or other personal-security PINs.
Employee kiosk procedure
- Select your own name or employee card.
- Enter your private PIN.
- Select the action currently available: Clock In, Start Break, End Break, Start Lunch, End Lunch, or Clock Out.
- For Clock In, choose a project if project selection is enabled or required.
- Allow location access if the kiosk action requires it.
- Wait for the success message before leaving the device.
Available actions depend on the employee's current state. A break and lunch cannot run simultaneously, and an active time-away event must end before Clock Out.
Test every state
- Clock In and confirm Start Break and Start Lunch are available.
- Start Break and confirm End Break replaces it while lunch cannot begin.
- End Break, Start Lunch, and confirm End Lunch is available.
- End Lunch and Clock Out.
- Open Administrator Time Entries and verify source, break minutes, lunch minutes, project, and hours.
- Enter a wrong PIN repeatedly on a test employee and confirm temporary protection activates.
Security and privacy checklist
- Keep the device browser, operating system, and WordPress site current.
- Restrict access to browser settings, saved passwords, and WordPress administration.
- Use HTTPS.
- Do not use a shared Administrator session as the kiosk.
- Change a PIN immediately if compromise is suspected.
- Review Audit Log activity during an investigation.
- Explain any displayed employee information or collected location data in the organization's notice.
Troubleshooting
| Problem | Resolution |
|---|---|
| Kiosk page is blank or shows shortcode text | Confirm Pro is active and licensed, Kiosk is enabled, and the page contains the exact kiosk shortcode. |
| Employee does not appear | Confirm employee access, Active status, and a saved kiosk PIN. |
| PIN is rejected | Select the correct employee, set a new 4–10 digit PIN, and wait about ten minutes if failed attempts triggered protection. |
| Break or lunch actions are missing | Enable the separate kiosk Break Buttons and Lunch Buttons sub-features. |
| Clock-in is blocked | Check required project, published schedule, early-clock window, approved location, and existing active shift. |
| Avatars do not appear | Enable both the Employee Avatars sub-feature and the kiosk display setting; confirm WordPress avatars are available. |
