Labor Reports, Pay Rates, Billable Value, and Margin Print

Labor and Project Reports combine completed work, overtime categories, approved leave, effective-dated employee cost rates, project billable rates, and calculated gross margin.

Required access: Report-view permission. Pay-rate changes require the corresponding management permission. Enable Labor and Profitability Reports and the relevant sub-features.

Enable reporting

  1. Go to Time Logger > Settings > Features.
  2. Enable Labor and profitability reports.
  3. Expand it and enable Employee Labor Reports, Project Profitability, Pay-Rate Management, and Report Exports as needed.
  4. For project billable value, also enable Projects & Cost Codes and Billable Rates.
  5. For leave rows, enable Time Off and Payroll Leave Rows.
  6. Select Save feature controls.

Set an employee cost rate

  1. Go to Time Logger > Payroll > Reports.
  2. Find Employee Cost Rate.
  3. Select the Employee.
  4. Enter the Effective Date.
  5. Enter Hourly Cost as a number in the configured currency.
  6. Enter an optional internal note explaining the rate source or change.
  7. Select Save effective rate.
  8. Run a report covering the effective date and confirm the calculation.

Rates are effective-dated. A new rate applies from its effective date forward and does not rewrite the cost assigned to earlier work. Enter a new rate record when compensation changes.

Choose what Hourly Cost represents

Use one consistent internal definition. It may represent base wage only or a fully burdened labor cost that includes employer expenses. The plugin multiplies the saved value by categorized hours; it does not calculate taxes, benefits, insurance, or overhead on its own. Document the organization's chosen method.

Configure report policy

  1. Enter the three-letter ISO Currency Code, such as USD, CAD, or GBP.
  2. Enter the Overtime Cost Multiplier, such as 1.5 when appropriate.
  3. Enter the Double-Time Cost Multiplier, such as 2.0 when appropriate.
  4. Select Save report policy.

The currency code labels values; it does not perform exchange-rate conversion.

Configure project billable rates

  1. Go to Time Logger > Payroll > Projects.
  2. Create or edit an Active project.
  3. Enter the Billable Hourly Rate.
  4. Confirm employees select that project when recording time.
  5. Run a report that includes known project time and verify billable value.

Run a labor report

  1. Go to Time Logger > Payroll > Reports.
  2. Enter the Report Start Date and End Date.
  3. Select Run report.
  4. Review summary totals first.
  5. Review Employee Breakdown for regular, overtime, double-time, worked hours, paid leave, unpaid leave, and labor cost.
  6. Review Project Profitability for hours, labor cost, billable value, and gross margin.
  7. Investigate missing rates, unassigned projects, or unexpected overtime before exporting.

Example

An employee records 8 project hours at a $30.00 hourly cost. The project's billable rate is $100.00. With no overtime, labor cost is $240.00, billable value is $800.00, and gross margin is $560.00. This is a management estimate; it does not automatically include taxes, benefits, materials, or other project expenses.

Export report results

  1. Run the exact date range needed.
  2. Review and resolve missing data.
  3. Select Export report CSV.
  4. Open the file and compare it with the on-screen summary.
  5. Store the file according to the organization's payroll and privacy policy.

The report CSV is an analysis export. It is different from provider-ready payroll files created under Payroll > Pay Periods.
