Authorized managers can filter and export time entries, correct completed entries, review employee correction requests, soft-delete incorrect entries, and restore eligible deleted entries.
Required access: Time-management permission for the basic Time Entries page. Pro payroll-management or correction-review permission is required for Pro actions. A related pay period must be Open before a protected entry can change.
Review time entries
- Go to Time Logger > Dashboard.
- Select the Time Entries tab.
- Choose an Employee, or leave All employees selected.
- Enter the Start date and End date.
- Select Filter.
- Review the Entries, Completed Hours, and Currently Working totals above the table.
Understand the columns
| Column | Meaning |
|---|---|
| Employee | The WordPress user who owns the entry. |
| Date | The local work date assigned to the shift. |
| Start / End | Clock boundaries shown in the WordPress timezone. A blank end indicates an active shift. |
| Break | Total normal break minutes associated with the entry. |
| Lunch | Total lunch minutes, kept separate from break time. |
| Hours | Calculated payable duration after applicable time-away treatment. |
| Source | How the entry was created, such as live clock, manual entry, kiosk, or administrative action. |
| Actions | Available edit or delete controls based on permissions and pay-period state. |
Export filtered time
- Apply the exact employee and date filters needed.
- Confirm the displayed results.
- Select Export CSV.
- Open the file and verify the employee, work date, start, end, break minutes, lunch minutes, hours, source, and notes.
This basic filtered export is different from provider-ready payroll exports under Payroll > Pay Periods and report exports under Payroll > Reports.
Edit a completed entry
- Find the entry and select Edit.
- Verify the employee and existing recorded values.
- Correct the work date, start time, end time, break minutes, lunch minutes, project, or note as needed.
- Keep Break Minutes and Lunch Minutes separate.
- Save the correction.
- Return to Time Entries and confirm the new payable hours.
- Open Tools > Audit Log to confirm the correction record when required.
Only completed entries can be edited. Overnight shifts are supported, but no shift may exceed 24 hours and combined break and lunch totals must be shorter than the gross shift.
Why an edit may be blocked
If the work date belongs to a pay period that is in Review, Approved, or Locked status, reopen the period before editing. After the correction, repeat the necessary employee certification, manager approval, review, export, approval, and lock steps according to company procedure.
Soft-delete an entry
- Confirm you selected the correct employee and entry.
- Select the entry's delete action.
- Confirm the request when prompted.
- Verify the entry disappears from active reports.
- Go to Time Logger > Tools > Deleted Entries to confirm the retained record.
A normal delete is recoverable during the configured retention window. It does not immediately erase the database record.
Restore a deleted entry
- Go to Time Logger > Tools > Deleted Entries.
- Locate the employee, work date, and deleted entry.
- Confirm that the related pay period is Open.
- Select Restore.
- Return to Time Entries and verify the row and totals.
Enable employee correction requests
- Go to Time Logger > Settings > Features.
- Enable Employee self-service.
- Expand the card and enable Correction requests.
- Save feature controls.
- Go to Time Logger > Tools > Data & Privacy.
- Confirm employee correction requests are allowed and save.
- If managers should receive alerts, enable Workforce Notifications > Correction Requests and configure Notifications.
Employee correction procedure
- The employee opens the normal clock page.
- In Correction Requests, the employee selects an existing completed entry by date and recorded times.
- The saved Clock In, Clock Out, Break Minutes, and Lunch Minutes populate automatically.
- The employee changes only the incorrect field or fields.
- The employee enters a specific reason and submits.
The form intentionally does not require the employee to reconstruct the entire shift from memory. Fields remain unavailable until an eligible completed entry is selected. Submitting a request does not immediately modify the entry.
Review a correction request
- Go to Time Logger > Dashboard.
- Select the Corrections tab.
- Confirm the employee, entry date, and current values.
- Compare each requested value with its current value.
- Read the employee's reason.
- Enter an optional manager decision note.
- Select Approve & apply to update the entry, or Reject to leave it unchanged.
- Confirm the request status, updated entry, and Audit Log.
Supervisors see only requests for employees in their assigned scope. An approved request cannot be applied while its pay period is protected; reopen the period first.
Example correction
An employee selects the September 1 entry showing 8:00 AM–4:30 PM, 20 break minutes, and 60 lunch minutes. The form loads those values. The employee changes Lunch Minutes to 30 and enters “I forgot to end lunch; actual lunch was 30 minutes.” The manager compares current and requested values, approves, and the payable total is recalculated. The request and entry change remain in the Audit Log.
Troubleshooting
| Problem | Resolution |
|---|---|
| Edit action is missing | Confirm the entry is completed and the user has Pro payroll-management permission. |
| Correction tab is missing | Enable Employee Self-Service and its Correction Requests sub-feature, then check user permission. |
| Employee selection has no entries | Only eligible completed, non-deleted entries are offered. Confirm the date and entry state. |
| Correction values do not populate | Select an entry and allow the page script to load. Reload without aggressive caching or script optimization if needed. |
| Approval cannot apply | Reopen the related pay period, apply the correction, and repeat the payroll review process. |
| Totals still look wrong | Review automatic lunch, paid time-away, overtime rules, overlapping entries, and the WordPress timezone. |
